Order Management Administrator with French/ Dutch

This role involves direct interaction with clients, partners, and internal stakeholders. Success requires precision, strong organizational skills, and clear communication. You’ll also coach and mentor junior team members, helping elevate team performance.

 

What you'll be doing

 

  • Reviews and processes offers and requests, ensuring compliance with guidelines and rules set in place
  • Tracks and reports status of all incoming requests to sales teams, updating in a timely manner
  • Receives and reviews customer & client manager requests to ensure accuracy and completeness
  • Enters client requests & offers into the system and track their progress throughout the fulfilment process
  • May be required to generate offers  based on approved quotes, ensuring accuracy of pricing, discounts, and terms
  • May be required to verify client information and addresses discrepancies if needed
  • Ensures that customer offers (and if required invoices) align with contractual terms and pricing agreements
  • Collaborates with cross functional teams to address any order discrepancies
  • Communicates with customers or relevant internal stakeholders regarding offer status
  • Addresses customer and/or internal stakeholder inquiries and resolve concerns in a timely manner
  • Maintains accurate records of customer offers
  • May work with internal stakeholders to update customer profiles and relevant information in the system
  • Enters order details accurately into the system and update relevant databases
  • Ensures all necessary information is captured for accurate reporting
  • Conducts quality checks on orders to prevent errors and discrepancies
  • Ensures all documents and data are complete and accurate
  • Distributes monthly booking reports and status of orders, including a report of all found order issues in order to inform relevant stakeholders May assist
  • Order Management Manager with additional reports and assignments as needed

 

What you'll bring along 

 

  • Fluent in English and French or Dutch
  • Minimum 3-5 years of experience in a similar role
  • Skilled resources who completes tasks in resourceful and effective ways
  • Works on assignments requiring considerable judgment and initiative
  • Attention to detail and accuracy in processing orders
  • Strong communication skills for interacting with customers and cross-functional teams
  • Problem-solving abilities to address order discrepancies
  • Organisational skills to manage multiple orders and tasks simultaneously
  • Proficiency in Microsoft Office applications, especially Excel
  • Customer-focused mindset with a commitment to providing excellent service
  • Adaptability to changing priorities and a fast-paced environment
  • Familiarity with using CRM tools for client follow-up and reporting is considered a plus. Such as SFDC or others
  • Possess a proactive and systematic approach to work
  • Solid demonstrated experience in order offer/sales administration or related roles
  • Solid demonstrated experience gained within a global IT services organisation is advantageous
  • Demonstrated admin sales experience as part of an order fulfilment administration or related role
